Check whether the room was actually full
A booked room and a used room look identical in the booking reports. Where a people-counting sensor is bound to the room, Offision records how many people were really there — per meeting on the calendar, and across the estate in Space utilization efficiency.
Every booking report counts booked time. A room held all week and entered by nobody reads exactly like one in constant use. Where a room has a sensor that counts people, Offision records what actually happened in it — and that is the number to bring to an argument about room sizes.
1. One meeting, on the calendar
Open a finished booking on the management calendar. Once it has reached Used, the sticker carries a Usage summary row:
- Actual usage — how long the room was genuinely occupied, against the slot that was booked.
- Peak people detected, beside Room capacity and the Planned attendance the booking claimed.
- People over time — the curve across the meeting, which is what separates a room that filled for ten minutes from one that stayed full.
The readings are captured when the booking turns Used and stored with it, so a booking that never reached that state has none — and connecting a sensor today does not fill in last month.
2. The estate, in Space utilization efficiency

Avg capacity efficiency is the one this article is about. Low across the estate means the rooms are bigger than the meetings held in them, and Capacity efficiency by resource names which ones — average occupancy against each room’s own capacity, worst-sized first.

3. Read it against the booked picture
This page and Resource usage analytics answer different halves of the same question — booked time there, occupied time here. A room that ranks high on one and low on the other is the finding: it is being taken, and it is not being used. Combine it with Keep large rooms for large meetings, which is how you act on it.
4. Check it worked
Pick a room you know was busy yesterday and open one of its finished bookings. If Usage summary is missing, the booking did not reach Used; if it is there but empty, the room’s sensor reported nothing during the slot.
What this does not tell you
- A room with no capacity reads as fully occupied. Missing capacity is treated as a single seat and the result is capped at 100 %, so an unmeasured room quietly flatters the average. Fixing capacity is step 1 of Keep large rooms for large meetings.
- Nothing compares the measured count with the invited head count. Every comparison here is against capacity. A meeting of three that invited thirty looks the same as a meeting of three that invited three.
- The people count never releases a room. Automatic check-in, check-out and extension all run on motion, not on how many people are there — see What counts as a no-show.
- Overall utilization is not measured against your business hours. It assumes a standard working day, which is why it can disagree with the booking-based reports over the same week. The per-room figures and the capacity numbers are unaffected.
- A motion-only sensor is invisible here. It still drives occupancy and no-show, but only readings that carry a people count above zero reach capacity efficiency.
