A leading international education organization in Hong Kong managing dozens of campuses, including kindergartens, primary, and secondary schools. With over 18,000 students and a large cohort of full-time and temporary staff, the organization required a unified platform to manage highly dynamic environments.
The organization faced several operational hurdles:
Rigid Room Configurations: Multi-purpose halls and classrooms often needed to be combined or split, but the old system couldn't handle "parent-child" room logic.
Security & Visitor Management: High turnover of temporary staff and guest lecturers made manual check-ins a security risk.
Manual Event Setup: Service staff lacked clear instructions on room layouts and billing for events.
Lack of Foresight: Admins struggled to forecast service needs and visitor volumes without manual data entry.
Scalability: The system needed to support 300+ users initially with a flexible license model to accommodate rapid growth.
To support various class sizes and event types, Offision implemented the Combined Room feature.
Dynamic Space Management: Users can book individual classrooms for standard lessons or combine them into a single large "Grand Hall" for assemblies or parent-teacher conferences.
Conflict Prevention: The system automatically locks the individual "child" rooms when the "parent" room is booked, ensuring no double-bookings occur during complex reconfigurations.
Security was enhanced by streamlining the check-in process for non-permanent personnel.
To ensure event success, Offision updated the booking form to act as a comprehensive "Project Brief."
Layout Uploads: When booking a room for an event, users can upload a specific room layout PDF directly to the form.
Service & Invoice Tracking: Users can attach service invoices or requests for catering and tech support. Service staff receive these documents instantly, ensuring the room is set up exactly as required without back-and-forth emails.
The system was configured to send Regular Service and Visitor Reports directly to department heads.
Upcoming Forecasts: Weekly emails provide a detailed forecast of total bookings, expected visitor counts, and service staff requirements.
Data-Driven Insights: Reports include details on "Service Involved" (e.g., AV support needed) and "Visitor Involved," allowing the administration to optimize staffing levels ahead of peak periods.
Offision provided a highly flexible license structure to support the school’s growth.
Seamless Scaling: Starting with 300 users, the organization can add new users on-demand as they expand campuses or hire more staff.
Centralized User Management: Integration with Microsoft 365 and SSO ensures that as new staff are added to the school's directory, they are automatically synced with Offision, maintaining a low administrative overhead.
The implementation of the Offision Workplace Suite transformed the school's operations into a "Frictionless Campus." Teachers now enjoy the flexibility to adapt spaces to their teaching needs, service staff work with clear visual instructions, and the management team has total visibility into the campus's future utilization through automated reporting.
